Automated Certification Generation for Electricity Network Maintenance

The Challenge

The client's electricity network maintenance workflow relied on fragmented, manual steps that created operational bottlenecks and delayed billing. Field teams submitted documentation in mixed formats — photos, handwritten reports, PDFs, scans, and spreadsheets — making interpretation and validation slow and inconsistent. Administrators had to manually match tasks to thousands of UCC/baremo pricing codes, a tedious process complicated by unstructured descriptions and regional variations.

Inventory updates were also handled manually: equipment usage data had to be sent to the ERP team separately, exposing the lack of integration across legacy systems like EMAX. Errors in price lookup, inconsistent document formats, and repeated rework further slowed the work-to-cash cycle. Traditional BPM and RPA tools failed due to the high variability and complexity of the cases.

The Solution

Maisa's Digital Worker fully automated the client's end-to-end certification and billing process, eliminating manual data handling and connecting field operations with pricing, documentation, and ERP systems. The Worker collects all relevant input — from photos and handwritten notes to Excel and material usage reports — classifies, reads, and extracts structured information, then applies the client's pricing catalog to each task.

It generates complete Excel certification files, summary reports, and client invoices, while automatically updating inventory in EMAX. A built-in accuracy assurance layer reviews all outputs, sending only 5% of cases for human validation.

The Results

By automating certification generation, the company removed major bottlenecks between field work, documentation, and billing. Processes that previously took days now run overnight, dramatically accelerating invoice delivery and improving cash flow. Each certification now takes about 10 minutes instead of 1.5 hours — recovering 14,600 hours annually, the equivalent of nine full-time employees.

Automated pricing and rule application now ensure consistent and error-free results across all regions, while real-time ERP updates keep inventory always accurate. The solution also scales easily across divisions, providing a foundation for broader enterprise automation.

  • Consistent, auditable, error-free certification

  • Faster billing and shorter payment cycles

  • Always up-to-date inventory records
